Who is responsible for your information?
I'm Hayley Maisey, a UK-based sole trader trading as Maisey Marketing. I'm the data controller for personal information I collect in running my business. For privacy enquiries, please email me or use the Contact page.
What information do I collect?
Enquiries
If you contact me through the website, I receive the details you choose to provide, such as your name, business, contact details and message. Form submissions are stored in Squarespace, copied into a Google Sheet and sent to my email inbox.
Client relationships
I hold relevant business contact details, correspondence, meeting arrangements, project information and invoice records.
Meetings
I use Google Calendar and Zoom to arrange and hold meetings. Zoom automatically generates AI meeting summaries, which are emailed to me and retained as records of discussions, decisions and agreed actions. Participants are notified when AI summaries are active, and I can switch this feature off on request. I decide whether to share summaries with others based on need and request. Some meetings are also recorded, typically at the request of clients. Recordings are temporarily stored in Zoom’s cloud and normally deleted once shared with the client. Clients may also use their own AI note-taking tools during meetings.
Website visits
Squarespace and Google Analytics collect information about how the website is used, such as pages visited, traffic sources, device information and approximate location. Squarespace’s activity log may also show IP addresses and individual visits for a rolling seven-day period. See my Cookie Policy for more detail.
How and why do I use this information?
In summary:
To respond to enquiries, follow up conversations and keep appropriate records of potential work. This is in my legitimate business interests or to take steps before entering into a contract.
To deliver agreed services, arrange meetings and keep relevant records of discussions, decisions and completed work. This is needed for contracts and for legitimate interests in maintaining accurate business records and addressing later questions, disputes, or legal claims.
To issue invoices, manage accounts and meet tax or other legal obligations.
To understand website performance and maintain site security. I rely on legitimate interests where appropriate and obtain cookie consent where required.
I do not add website enquirers to a newsletter or sell personal information. I do not use the website for targeted advertising.
What about information belonging to clients?
When my work requires access to a client’s CRM, email marketing platform or customer information, I generally handle that information on the client’s instructions. In those circumstances, the client is normally the data controller, and their privacy notice and our working agreement are relevant.
Where is information held and who can access it?
I use Squarespace for this website and its forms, Google Workspace (including Gmail, Sheets, Drive and Calendar), Google Analytics and Zoom. I may also share relevant information with professional advisers where necessary or where required by law. Access to my business files is restricted, and I use password-protected devices and services, with additional account security where enabled.
Some providers may process or store information outside the UK. Where this happens, I rely on their applicable international transfer arrangements, which may include adequacy arrangements or appropriate contractual safeguards.
How long do I keep information?
I keep enquiries and correspondence while conversations are active and, where reasonably needed, afterwards as a record of previous discussions. Some enquiries may be picked up again later. I review the personal information I hold at least once a year and consider whether it is still needed.
I retain relevant client correspondence, AI meeting summaries, project records and deliverables where needed to demonstrate agreed work, manage payments or respond to questions, disputes or potential claims. I remove personal information when there is no longer a reasonable need to keep it. Financial records are retained as required by law. Personal information handled on a client’s behalf is subject to their instructions. Squarespace’s individual-visit activity log normally covers the previous seven days; other analytics and service records follow the relevant settings and retention arrangements.
Your rights and how to raise a concern
You can ask to see or correct your personal information, and in certain circumstances ask for it to be deleted, restricted or transferred, or object to its use. These rights depend on the circumstances. You can withdraw your consent to optional analytics cookies at any time using the cookie-preferences control on this website. To make a request or complain about how I have used your information, contact me using the details above. I will acknowledge a data protection complaint within 30 days, investigate it and explain the outcome without undue delay.
You can also complain to the Information Commissioner’s Office (ICO). I may update this policy if the way I work or the services on this website change.
